Position: Finance Assistant (Projects) (1) Based at Dili
Report to: Finance and Admin Manager

Summary of the position

Assist the Finance and Administration Manager in the financial management and accounting for Project Affiliates finances and to ensure that all ChildFund-related finance relevant policies, systems & procedures& requirements as well as donor requirements are adhered to by the Project Affiliates. Her/his responsibilities include keeping and updating asset inventory records, monitoring the financial aspect of project affiliates and building their capacity on financial management, facilitating project audits, maintaining Project Affiliate files and setting up their accounting systems.
General Task:
1. Conduct mid- term and annual physical check of all ChildFund Timor Leste assets, and update inventory lists as necessary, e.g. if discrepancy occurs,
2. Submits list of asset additions and disposals to Richmond as per required schedule,
3. Update asset inventory list on a monthly basis, e.g. new asset purchases, and
4. Prepares functional expense report annually

5. Visits projects regularly, assists project affiliates in analyzing their financial performance, advises/guides them to take corrective actions if needed,

6. Reports or gives feedback to Finance Manager on the financial performance of project affiliates, and

7. Assists Finance Manager to ensure that all project affiliates utilize and account childFund funds according to ChildFund policies and standards

8. Assists Finance Manager in the capacity building of project staff on financial management, specifically

9. Assists in project auditor’s orientation prior to the conduct of audit,
10. Assists auditor during PAs audit by providing all necessary information as required,
11. Maintains and updates project files, ensures they are neat and orderly for easy accessing.

Qualifications & Experience
University Degree in Accounting, Finance, or relevant professional Accounting qualification or equivalent. Minimum 3 years progressive work experience in accounting preferably in NGO sector.

  • Self-guided, strong organizational and planning skills; Ability to work independently and under pressure
· Strong interpersonal communication skills;
· Analytical skills,& can communicate results in an effective manner.
· Flexible and able to adapt to a multi-cultural environment & complex situations
· Good knowledge of accounting and automated accounting systems, computer literate, knowledge on the use of spreadsheet, word-processing and other financial software packages.
  • Proficiency in English language, both verbal & written desirable
